Who we are

Rate Sorted, publishing rate tools for UK tradespeople.

Rate Sorted publishes rate data and pricing tools for UK tradespeople at ratesorted.co.uk.

The site is run by the Rate Sorted team and operated from Australia for visitors in the United Kingdom.

Contact for anything in this policy: hello@ratesorted.co.uk.

ICO registration: in progress. The number will appear here when issued.

What we collect and why

Your email, only when you unlock a PDF or join a Rate Book waitlist.

You can use every tool on this site without giving us any personal information.

The numbers you type stay in your browser while you use a tool.

We collect personal data in two situations only.

When you enter your email to unlock a PDF. That is the rate card, a quote or an invoice.

At that point we collect:

  • Your email address.
  • The calculator inputs and results shown in your PDF.
  • If you use the quote writer or the invoice, the job figures shown in it.
  • Which page you were on, whether you were on a phone, your tax region, and the trade and town you chose.

The PDF is created in your browser. You get it straight away.

Quote figures mean room counts and sizes, days, coats, materials, your day rate and the total.

We never store room names or anything else you type as free text.

When you join a Rate Book waitlist. We collect your email address and which trade's Rate Book you asked about.

We use it to send you one email on the day that Rate Book goes on sale.

Emailed copies. On the rate card you can tick a box to have the PDF emailed to you as well.

Before we send a PDF or a waitlist email, we first send one short email asking you to confirm your address.

Nothing else is sent until you press the link in it. The link works for 7 days.

If you do not press it, nothing more is sent for that request.

A fresh request from the site would send a fresh confirmation email, and no address gets more than two a day.

Your email is only needed to unlock a PDF, get a copy emailed, or join a waitlist.

Without it you can still use every tool.

Marketing is separate and optional.

Next to the email box there is an unticked box you can choose to tick.

Tick it if you want occasional pricing tips and rate updates for tradespeople.

You get the PDF whether you tick any box or not. We are not sending any marketing emails yet.

Our lawful basis

Consent, asked for separately for each thing we do.

We rely on your consent, and we ask for it separately because they are different things.

For the PDF and the record of it: you consent by entering your email and unlocking the PDF.

For an emailed copy: you consent by ticking that box, and then by pressing the confirmation link we email you.

It is sent once. Asking for a copy adds you to nothing else.

For a Rate Book waitlist: you consent by entering your email on that page.

Then you confirm it by pressing the link we email you.

You get one email, on the day that Rate Book opens, and nothing else.

For marketing: you consent only by ticking the optional box.

It is never pre ticked, and we never add you without it.

Refusing it does not stop you getting the PDF.

For analytics and for limiting misuse: our legitimate interest in running the site safely.

That covers the cookieless counts below, and the daily limit on emails one address can ask for.

You can object to that at any time by emailing us.

We will stop unless we have a compelling reason we can show you.

We make no decisions about you by automated means.

We keep a record of the exact wording you agreed to and when, for each consent separately.

Our server checks that wording against what the site shows, and records the time itself.

You can withdraw any consent at any time by emailing us.

Any marketing email we send will carry an unsubscribe link. A one off email, like your PDF, does not need one.

Withdrawing is as easy as opting in.

Who processes your data

Convex, Resend and Vercel, and what each one does.

We use a small number of service providers to run the site:

  • Convex stores saved calculator results, email addresses and waitlist sign ups.
  • Resend sends our email: the confirmation email, the emailed PDF and the waitlist email.
  • To do that, Resend handles your address and, for the PDF, the file itself, for as long as delivery takes.
  • Vercel hosts the website and provides the cookieless analytics described below.

All three are United States companies and may process data there.

Where they do, we rely on the UK's approved transfer safeguards.

That is the UK to US Data Bridge where the provider is certified under it.

Otherwise it is the ICO's International Data Transfer Agreement, the IDTA.

Or the UK Addendum to the standard contractual clauses.

Email us and we will tell you which safeguard each provider relies on and how to see a copy.

We never sell your data and we never share it with anyone else for their own marketing.

Analytics

Cookieless, anonymous, and never your figures or your email.

We use Vercel Web Analytics to count how the site is used.

It sets no cookies. It does not identify you or follow you to other websites.

It records the page you visited, and a short list of actions.

Those are:

  • Working out a day rate on the calculator.
  • Checking whether a quote makes a profit.
  • Pressing a link on another page to reach the calculator.
  • Pressing the button to save your results as a PDF.
  • Saving that PDF once you have given your email.
  • Opening the quote writer.
  • Opening the email box on the quote writer.
  • Saving a quote as a PDF.
  • Saving an invoice as a PDF.
  • Downloading the free sample of the Rate Book.
  • Pressing the Rate Book button.
  • Pressing the homeowner quotes button.

Where an action involves a trade or a town, we record which one.

That is how we decide what to build next.

We never send your typed figures or your email address to analytics. Your numbers stay in your browser.

What stays on your device

Your figures, saved in your browser so they are there next time.

The calculator, the quote writer and the invoice save what you type in your own browser's storage.

That is how your figures are still there when you come back, with no account and no login.

It is saved as you type, on your device only. It is never sent to us.

Your business details on the invoice are saved the same way, and the invoice page has a button to wipe them.

Clearing your browser's site data removes all of it.

This is storage, not a cookie, and it is only ever read by this site.

Cookies

None set by us, which is why there is no banner.

We do not set advertising cookies, and our analytics sets no cookies at all.

That is why you do not see a cookie banner on this site.

If we ever add something that does use cookies, we will ask for your consent first.

A clear banner, before anything is set.

How long we keep your data

While it is useful, and never past 24 months.

We keep your email address and saved results only while there is a reason to.

Today that reason is the record of your download, a waitlist you joined, and any marketing box you ticked.

A waitlist sign up is kept until that Rate Book opens and your one email is sent.

It is deleted within 30 days after that.

If you never press a confirmation link, that sign up is deleted within 30 days of the link expiring.

In any case, nothing is kept longer than 24 months after it was stored.

A job runs every day and deletes what has reached those limits.

When you withdraw consent you stop receiving emails straight away.

Withdrawing stops the emails and nothing more.

If you also want your stored email and saved results deleted, tell us and we will delete them.

Your rights

See it, correct it, delete it, or stop our emails.

Under UK GDPR you can ask us at any time to:

  • Show you the data we hold about you.
  • Correct it.
  • Delete it.
  • Stop using it.
  • Give you a copy in a portable, machine readable format so you can reuse it elsewhere.
  • Stop our emails and withdraw your consent, any time. Objecting to marketing is always honoured.

Email hello@ratesorted.co.uk and we will respond within one month.

How to complain

Tell us first, then the ICO if we get it wrong.

If you are unhappy with how we handle your personal data, please tell us first so we can put it right.

Email hello@ratesorted.co.uk with "Data complaint" in the subject line.

We will acknowledge your complaint within 30 days and respond as quickly as we can after that.

You also have the right to complain to the UK's data protection regulator.

That is the Information Commissioner's Office, at ico.org.uk/make-a-complaint.

We would appreciate the chance to resolve things first.

Affiliate links

Marked where they appear, and never a change to our rates.

Some pages link to services that pay us a commission if you sign up.

Those links are marked near where they appear and they never change the rates we publish.
